Privacy Statement (updated July 2025)

 

I collect some personal information from you in order to arrange Community Singing, Makaton training or song and sign sessions. This document explains why I ask for that information, how I use, manage and protect that information and your rights relating to that information.

 

What personal data do I hold?

 

Makaton Workshop Participants (online publicly advertised)

• Name

• Email address – personal for those who book directly, work email address for those who book through an organisation

• Address - personal for those who book directly, work address for those who book through an organisation

 

Makaton Workshop Participants (face to face booked via a setting)

• Name

• Email address or phone number if you have agreed to this

 

Makaton Taster Session Participants (online publicly advertised)

• Name

• Email address – personal for those who book directly, work email address who book through an organisation

 

Makaton Taster Session Participants (face to face booked via a setting)

• Name

• Email address or phone number if you have agreed to this

 

Online song and sign participants

• Name

• Email address

 

Community Singing

• Organisation Name

• Name of contact person

• Organisation Address

Where did I get your data from?

• ​You or the organisation who booked your place provided me with all the data, apart from the email address used for online payment, which you gave to Paypal if you paid online, who then passed it to me within your transaction details.

• For those who book Makaton Training via BookWhen, BookWhen provides me with your details.

What is the legal basis and purpose for my holding your personal data?

​The personal data I hold and process is necessary for us to complete your booking and give you any further details about the course or session you have booked.

What I do with your personal information?

• ​I use your information to contact you about the course or session you have booked and to invoice you for the course place.

• I use it to complete attendance certificates for a Makaton Workshop or Taster Session

• I use it to post Makaton manuals before a workshop and attendance certificates after a workshop.

• I use it to provide proof that you have attended a Makaton workshop with me if you want to do further training with another tutor or organisation

• I also use it to contact you after the course for information about the course you attended.

• If you have given permission I use it to contact you about future courses

 

What I don’t do with your personal information

​I do not share your personal information with any person or organisation outside Karen Baxter Song and Sign Makaton Tutor.

 

How do I protect your information?

• ​I use password protected hardware and software to protect your information

• I retain paper attendance sheets for face to face Makaton training securely

How long do I keep your personal data?

​I will retain your information for 10 years in case you need me to prove that you have completed the course or session.

 

What are your personal data rights?

​If at any point you believe the personal information I hold on you is incorrect, you want me to correct or delete that information, or you no longer want me to hold that information or contact you, you can exercise your rights under Data Protection Laws.

 

These rights include:

• Right of access,

• Right to rectification

• Right to erasure

• Right to restriction of processing

• Right to data portability

• Right to object
